This role focuses on supporting HR and enterprise programs requiring internal employee communication. The communications project and production manager will manage and coordinate small- to large-scale communications projects to ensure effective, integrated and timely execution of deliverables; prepares project documentation to ensure completion of assignment; oversees production, distribution and assessment of communications. As needed, the manager may be involved in the writing/editing and graphic design of certain materials and collateral related to assigned communications projects.Project management responsibilities include accountability for successful execution, production, delivery, and financial management. Communications may be in the form of electronic, print, face-to-face, video orlive-to-desktop/studio/auditoriumbroadcasts. Production management duties involve working with print, video or other vendors to deliver communications in the desired format and on schedule. Additional responsibilities include writing/editing and graphic design as required by each project. Responsibilities:
Project Management: Create and manage the project plans and communication deliverable timelines; drive deliverables and work forward with the team and key business partners, problem solve delays or scheduling discrepancies, and any other actions required to help meet communication and engagement launch dates and milestones. Coordinate with LOB PMO Team/project managers as needed—including representing the communications team at project tollgate meetings.
Reporting: Create necessary reports and information for theprojects/programs—include documentation/updatesof in-take forms and budget summaries.
Meeting Coordination and Facilitation: Coordinate necessary project/program meetings to help drive the work forward; work with teammates and partners to prepare meeting agendas and materials as needed; ensure actions items from meetings are completed
Production Management: Oversee applicable digital/print production timeframes and process for selecting printers; coordinate withdesigners—internal/external,as applicable; coordinate distribution lists and distribution files with business partners and printers/fulfillment vendors and/or the company’s Enterprise Channels Team; complete and submit all budgets/estimates for design and digital/print resources—including in-take forms, billing forms, processing invoices etc.
Communication preparation: Proof communications and ensure compliance with the company's brand style and writing guidelines; facilitate process for brand approval when needed; manage complex review processes with edits from multiple reviewers and consolidating changes into communications deliverables.
Vendor management: Manage select vendors used by team per the company's third party management requirements.
Writing/editing: Write and edit basic drafts for assigned materials and collateral as required with certain projects.
Graphic design: Assist with the design/layout of materials and collateral as required with certain projects. Enterprise-Owned Job Description: Directs major communication programs for U.S. and regional teammates. Primary responsibility for leading and managing a project – and assigned teammates, as applicable (that may consist of both associates and external vendors). Accountable for the successful design, delivery, financial management, communication and/or administration of complex company-wide communication programs. Communications may be in the form of electronics, print, face-to-face, video or writing. Also responsible for the program's design, production, and distribution. Skills Required:
5+ years of project management and production management support experience
Experience working on large scale, complex projects/programs with multiple milestones andphases—communicationscampaigns experience desired
Strong projectmanagement/productionmanagement skills, including the ability to prioritize work and meet deadlines and to manage multiple priorities or projects simultaneously
Experience working with communications design agencies, graphic designers and other related vendors
Experience working with print vendors to solicit and award print projects (assess vendors and negotiate pricing) plus manage all facets of print projects: print, fulfill and mail hard copy communications (post cards, letters, brochures, booklets, folders, guides)
Experience working with video vendors and production teams to produce and distribute video communications
Experience writing and editing communications
Experience managing complex review processes; editing and proof reading skills
Experience with desktop publishing and/or other graphic design programs
Experience developing and managing complex budgets for large programs
Ability to facilitate meetings, capture key outcomes / actions and own project / process documentation
Ability to see the big picture for a project and piece together project activities and think critically about how to ensure the project completes on-time and accurately
Self-motivation, self-direction, strong organizational skills, and the ability to manage priorities without sacrificing quality or timelines
Ability to manage a project or phases of a project in a fast-paced, matrix environment with strong attention to detail and accuracy
Ability to build relationships, drive collaboration and interact with communication partners, PMO, business partners, and external (3rd party) partners
Ability to effectively deal with ambiguity and adapts to changing circumstances
Ability to work with diverse team members in virtual environment
Ability to work with and across multiple levels of the organization, prioritize work and meet deadlines
Strong written and verbal communications skills
Strong analytical skills with ability to comprehend, document, evaluate and improve complex project/team processes
Proficiencies in Microsoft Office products (Word, Excel, PowerPoint) and SharePoint
Experience working in a communications or human resources environment
Project management certification (e.g. PMI, Six Sigma) or equivalent experience
