Job Summary:

Reporting to the Baystate Health Foundation (BHF) Fundraising Events Manager, performs a variety of diversified duties relating to the coordination of support for Rays of Hope Walk & Run Toward the Cure of Breast Cancer, which includes year-round activities.

The ROH Event Coordinator will take charge of the Event module in Raiser’s Edge; tracking expenses and team fundraising. Manage supporting third-party events and support all internal ROH events. Taking lead with the third-party event and supporting all in-house events. She/he will need to be flexible and work in a fast pace environment.

Job Responsibilities:

1) Responsible for supporting and participating in Rays of Hope events such as Team Captain Rally, Kick-Off Party, seasonal Pop-Up Shops, and Walk & Run Toward the Cure of Breast Cancer to include participant recruitment and retention; sponsor cultivation and solicitation; promotion and marketing activities; and event logistics.

Provide support for Events including pre-event/post-event set-up and breakdown, registration, mailings, Facebook updates, scheduling, and attending all in-house events.

2) Assist Fundraising Events Manager with marketing for Rays of Hope including advertising, newsletter production, social media posts, and eBlast messages.

3) Assist Fundraising Events Manager with the Rays of Hope website, set up online event registration, and ensure individual pages and donation forms are up to date.

4) Support Fundraising Events Manager with Rays of Hope Steering Committee and Community Advisory Board including scheduling all meeting dates, preparing correspondence and print materials as well as recording and distributing meeting minutes.

5) Be the point person for third-party events, with responsibilities that will include: engaging with (community) event organizers and members interested in and engaged in independent fundraising events in support of Rays of Hope.

The coordinator will communicate with event organizers via phone, email, and mail and will be responsible for all paperwork and documents relating to the event including BHF forms and confirmation letters. S/He will also meet with organizers if requested and follow up on donation(s) to BHF.

6) Responsible for Rays of Hope event mailings and working with mail module to create extracts for mail house. Work with Fundraising Events Manager to maintain annual events calendar and submissions to Baystate Health Master Events Calendar.

Generate all participants’ reports for the event.

7) Attends orientation, in-service, staff, and any other departmental, agency, or system-wide programs/meetings as requested.

8) Adheres to the system and department compliance policies, and any applicable laws and regulations.

9) Performs additional duties as requested.

Required Experience:

1) 1-2 years’ fundraising experience in event planning and/or related activities and database work.

Preferred Work Experience:

1) 2+ years of fundraising experience in event planning and/or related activities and database work.

Skills and Competencies:

1) Strong organizational skills with the ability to integrate and manage detail.

2) Proficient with Microsoft Office Suite, including Word, Excel, and Outlook.

3) Must have the ability to make sound judgments

4) Must have analytical strengths.

5) Self-directed with the ability to work with minimal supervision.

6) Must be able to apply English, including strong grammar and punctuation skills.

7) Good phone demeanor.

8) Knowledge of online tools and experience with fundraising databases (Raiser’s Edge preferred).

9) Excellent communication skills, clear, courteous, and professional manner.

10) Must be able to multitask in a fast-paced environment.

11) Ability to work in an environment requiring strict confidentiality, especially regarding donor information.

12) Ability to direct or manage volunteers professionally and efficiently.
