We are looking for a full-time Workplace Manager overseeing the RBKS Boston real estate portfolio and facility management. Candidate is a key contributor to the site operations and will sometimes travel between domestic locations. This role combines real estate/construction management, facilities management, portfolio strategy, project management skills, and team leadership including vendor team management. The successful candidate must operate as a trusted advisor to business leaders, and partner to Finance, HR, IT, and other functional areas. The ideal candidate is an experienced and engaging professional who is customer obsessed and will excel within an entrepreneurial culture – they have an ownership mentality, providing expertise, vision, leadership, exceptional communication skills, and have a vision for delivering a great work environment for the team.

Key job responsibilities

● You will work directly with Amazon facility support teams to coordinate and implement the needs of the onsite business teams.

● You will enhance the domestic workplace experience by driving efforts to manage and facilitate Amazon’s growth and commitment to flexibility, office programs, hybrid work, and team culture. Ensure all departments support a positive and vibrant work environment for the team.

● You must conceptualize large-scale space planning and project management, own plan for commercial real estate optimization, and manage contracts for vendors/services related to the in-office experience.

● You will mentor, develop, and coach team members to strengthen their leadership and assist in achieving career growth. Drives organizational changes.

● You will develop priorities and targets for team members to increase collaboration and project management skills to increase productivity of team and achieving objectives within budget.

● You work actively with stakeholders to understand their needs/problem(s) and structure support appropriately.

● You manage communications and may serve as the first point of contact. Your verbal and written style are clear.

● You coordinate, facilitate and document meetings and events with internal stakeholders and/or external partners.

● You support other offices in the region with space planning, support coordination, and the office experience.

● You will drive strategy and direction for workplace innovation framework to ensure consistency across functional teams – Site operations consistent with regional program guidelines and vision; think regionally, execute locally.

A day in the life

• Liaise between local and regional Amazon facility stakeholders to ensure high customer service standards with all suppliers and stakeholders, promoting transparency and accountability across these teams.

● Research new products, laws, & regulations related to workplace innovation, for the purpose of recommending efficient purchases and increasing workflow efficiency.

● Supervise teams and provide leadership on decision making, root cause analysis, inspection and audit readiness, communication, management of planning/scheduling and assignment, and drive overall improvement of productivity.

● Manage Ring, Blink, and Key facilities capital and operating budgets, reporting monthly on budget performance. Track and report key functional metrics to reduce expenses and improve effectiveness.

● Manage multiple complex projects and tasks simultaneously as well as being able to influence, and develop relationships at all organization levels.

● Establish, enhance, track, and report on metrics to allow performance improvements so that the desired outcomes are achieved to plan and in a timely manner.

● Own localized communications through newsletters, email, slack, and any other methods to proactively maintain centralized comms to cross depts.

● Office supplies/snacks inventory control and budget audit

● Event Management and on-site coordination

● Support conference/meeting room and seating navigation, coordination, and booking

● Incorporating localized cultural activities and wellness (Designing the office during seasonal changes, holidays, etc.)

● Maintaining the relationship with IT stakeholders and other vendors

● Support filtering relevant through ticketing queue & troubleshooting

● Manage/Coordinate similar scopes at other offices within the region

About the team

RBKS’s Workplace Experience team provides space and occupancy planning, lease management, facilities maintenance and management, workplace services operations, and PMO services across Amazon’s Global Organization.

Basic Qualifications

  • 5+ years of Reliability Program Manager or equivalent experience

  • Bachelor's degree, or 2+ years of Amazon experience

  • Experience with computers, including MS Excel, Word and Office

Preferred Qualifications

  • 5+ years of team management, budget responsibilities, supplier management, problem solving, and client/ customer relations experience

  • Experience in project management
