Robert Half Customer Service Coordinator in Greenfield, Massachusetts

Description

Robert Half has teamed up with our client in the Greenfield, Massachusetts area who is looking to bring on a Customer Service Coordinator. The chosen candidate will be tasked with responsibilities that revolve around customer service and data entry, providing support in a dynamic and fast-paced environment.

Responsibilities:

• Manage incoming phone calls, providing prompt and efficient service

• Coordinate the entry of service tickets and ensure accuracy and completeness

• Order necessary parts from relevant departments when required

• Oversee the shipping of parts to outside locations and ensure timely delivery

• Generate pick-up tickets and ensure they are accurately recorded

• Enter labor and parts order for payments received, ensuring accurate record-keeping

• Set up customer numbers in the system, maintaining up-to-date records

• Coordinate credits from the corporate department and ensure they are correctly applied

• Liaise with customer support specialists to resolve any issues or inquiries

• Assist the sales team with customer service tasks

• Understand and efficiently use the customer service module for scheduling calls

• Familiarize with the warranty process for warranty reorders

• Keep track of inventory, locations, and parts to ensure technicians are well-supplied for appointments

• Determine whether a customer is completed or in need of future services and can perform follow-through with reordering of necessary parts

• Use Word and Excel for data entry and record management

• Evaluate each technician’s route for efficiency and suggest improvements where necessary

• Maintain strong customer service skills and ensure customer satisfaction

• Multi-task and maintain a high level of attention to detail in all tasks.

Requirements

• Proven experience in a customer service role within the construction/contractor industry

• Strong ability to assist customers, addressing their needs and inquiries promptly and professionally

• Prior experience in a call center environment, handling high volume customer communication

• Excellent computer data entry skills, with attention to detail and accuracy

• Proficiency in order entry systems, ensuring all customer orders are processed accurately and in a timely manner

• Strong communication skills, both written and verbal, to effectively interact with customers and team members

• Ability to work in a fast-paced environment, managing multiple tasks simultaneously

• High level of problem-solving skills to handle customer complaints and resolve issues

• A team player with a positive attitude and customer-centric approach

• Flexibility to work in different shifts, including weekends and holidays, if required

• A high school diploma or equivalent; a bachelor's degree in a relevant field is a plus.
