South Middlesex Opportunity Council Information Specialist in Framingham, Massachusetts

SUMMARY

Team player that can multitask and pays close attention to detail. At least half of the time will be administrative duties-data entry, inputting invoices, collecting fees, tracking data, collecting tuition fees, ordering supplies, making flyers, creating newsletters, special projects, etc. The other part of the role is covering the main reception desk for a large Childcare/Head Start center in Framingham. This individual is responsible for answering and directing phone calls, buzzing in and greeting guests that come into the building, maintaining communication with school bus drivers on the two-way radios and assisting with collection of fees from our program parents Establishes a positive connection with children, families, community members when interacting on the telephone, computer or in person.

PRIMARY RESPONSIBILITIES

  • Data entry

  • Accounts Receivable

  • Accounts Payable

  • Running Reports

  • Tracking data

  • Creating and maintaining spreadsheets

  • Creating flyers, newsletters, etc.

  • Special projects as needed.

  • Answering and directing phone calls into the Center.

  • Buzzing in and greeting all guests to the Center.

  • Maintain communication with program school buses on the two-way radio.

  • Assisting with collection of fees from program parents.

  • Engaging all clients by understanding and addressing their needs whether within or outside the scope of work.

  • Attending and participating in team meetings as requested.

  • Maintaining confidentiality of client, employee and agency information in accordance with federal and state laws and funder requirements.

  • Ensuring compliance with program/department, agency and/or funder requirements, as well as SMOC policies and procedures.

  • Other office duties as assigned.

KNOWLEDGE AND SKILL REQUIREMENTS

  • Excellent customer service skills with ability to multi-task and stay organized as required.

  • Office skills (MS Word, Excel, PowerPoint)

  • Bilingual (Spanish or Portuguese) a plus.

  • Ability to work in a fast-paced environment.

  • Looking for someone that likes to learn, stay busy, take initiative, and work as part of a larger team.

PHYSICAL REQUIREMENTS

  • Must be able to handle the physical aspect of the position- bending, standing, sitting for long periods of time at a computer.

  • Recent physical exam determining good health.

ORGANIZATIONAL RELATIONSHIP

  • Directly reports to Center Directors and Division Director.

  • Indirectly reports to Assistant Director.

WORKING CONDITIONS

Normal work schedule is 930am-6pm, Monday through Friday but some flexibility is required. As part of the responsibilities of this position, The Information Specialist will have direct and incidental contact with clients served by SMOC in various programs funded through the executive Office of Health and Human Services. A successful background check is required.
