Making Opportunity Count Inc LIHEAP Office Specialist in Fitchburg, Massachusetts

Position Overview:

Perform general clerical duties including but not limited to filing, copying, mail support, answering multi-line phone system and be the first line of contact for applicants providing exceptional customer service.

Essential Duties and Responsibilities:

  • Provide customer service

  • Follow up on applicant inquiries by tasking specific action in a timely manner

  • Answer telephone and convey messages clearly and accurately

  • Utilize appropriate tools such as DHCD Administration Guidance and/or systems to accurately respond to inquiries

  • Schedule appointments

  • Appropriately date stamp all incoming documentation and match documentation to appropriate application number

  • Scan and input applications/documentation as received

  • Accurately identify vendor mail and distribute to the appropriate personnel

  • Run document folder and postage machine

  • Communicate effectively with applicants, vendors, and agency personnel

  • Respond to specific applicant inquiries relation to applicant status and properly document

  • All other duties as deemed necessary by supervisor

Required Qualifications and Skills:

  • High School Graduate or GED

  • One- year previous customer service desired

  • Proven oral and written communication skills

  • Ability to use Windows operating systems and navigate between various windows

  • Bilingual English/Spanish preferred

  • Valid driver’s license with reliable transportation

Work Authorization: Must be eligible to work in the United States.
