Finance and Budgeting
Collaborate closely with Senior Director and Associate Director on Global Experience Office (GEO) financial planning and reporting, including annual budgeting, quarterly reforecasts, on-demand estimates and historical analysis
Manage invoice and payment tracking for travel providers / destination management companies (DMCs) and other vendors
Oversee expense reimbursement process for students, faculty and staff participating in GEO courses / immersions
Manage term-billing process for student course fees and supplemental charges
Technology
Lead QuickBase development, maintenance, and support for all GEO workstreams, ensuring data integrity, compliance with HBS high-risk confidential data protocols, functionality of key reports, and efficiency of critical processes; coordinate with external vendor to create and update customized one-click reports
Manage GEO iPhone program, including planning, deployment, execution, and support of devices for faculty and staff Program Managers (PMs) participating in immersions, assessment travel and emergency coverage
Project Management
Coordinate biannual Request for Proposals (RFP) process with FIELD Global Immersion (FGI) and Immersive Field Course (IFC) travel providers / DMCs; work closely with Associate Director on travel provider selection
Assist with PM selection, training and resource development; lead creation of PM resources, including QuickBase site content and Essential Info Packs
Office Management
Maintain GEO staff onboarding processes and documentation; lead training on financial and technical systems and processes
Oversee general office management projects, including purchasing and inventory management
Contracts/Legal/Insurance
Execute, maintain and track contracts with travel providers and vendors
Coordinate master program insurance policy, mitigating gaps in coverage from individual travel provider policies
Other Duties
Serve as Program Manager annually on IFC or FGI; assist with Operations site assessments and attend trade shows to source travel providers / DMCs and vendors, as needed
