Must have strong computer skills including proficiency in Excel and Word. Experience with Oracle financial systems as well as knowledge of Harvard's financial applications a plus. Must display high initiative and be committed to customer service. Ability to work in a team setting, across functions, and develop and maintain effective working relationships. Must be well organized, flexible and able to manage multiple challenging projects simultaneously in a fast-paced work setting. Experience in higher education financial administration setting strongly preferred.

Department:FinancePre-Employment Screening:Education, IdentityJob Function:Finance Duties & Responsibilities:This is a two year term appointment which, based upon business needs and funding, may be extended.

The Financial Associate reports to the Director of Finance at Harvard Divinity School (HDS). This role provides financial administrative support for HDS using Harvard's financial systems and is the initial contact for financial policies and procedures; manages daily financial transactions including Concur, Oracle Financials, PCard, and Credit Vouchers; assists in the preparation of budget and quarterly forecast for departments as needed; handles office calendar and emails, orders supplies, etc. The Financial Associate works with minimal supervision in a fast-paced work environment and must successfully demonstrate initiative, reliability, attention to detail, customer service orientation, and discretion. This is a 2 year term position. Specific duties will include:

Financial Operations:

  • Serves as a source of information on financial policies and procedures.

  • Oversees and assists with department transactions for accuracy and completeness prior to approval.

  • Prepares, reviews and submits correcting journal entries to General Ledger

  • Assists with Oracle Fixed Assets entries

  • Responsible for pre-auditing transactions for compliance with related University and local policies, including payables, receivables, corporate credit cards, PCard, cash management, journal vouchers and purchasing.

  • Advises and trains Harvard Divinity School departments in the processing of all daily financial transactions including Concur, Oracle Financials, PCard, and Credit Vouchers.

  • Serves as the school's PCard program administrator and assists with questions and training.

  • Serves as the school’s Concur tub-level reviewer and administrator.

  • Assure compliance with established systems and regulations and takes corrective action as necessary.

Financial Planning and Analysis:

  • Assists in the preparation of budget and quarterly forecast for departments as needed.

  • Assists in the budget entry function in HUBS (Harvard University Budget System)

  • Assists in managing annual calendar for budget process, which includes scheduling annual budget meetings with directors and managers.


  • If needed, serves as the school's petty cash custodian.

  • Performs other related duties as required.
