3 years of administrative and/or events planning and communications experience. Education may count toward experience.

Additional Qualifications and Skills:

Event planning and/or communications experience in higher education preferred. Competency with MS Office Suite (particularly Word and Outlook), remote communications and hosting virtual meetings. Willingness to learn new technology. Experience with Harvard media services and events planning resources helpful.

Demonstrated capacity to adjust to shifting priorities and work on multiple tasks simultaneously. Demonstrated experience with recordkeeping, tracking and organizing materials; accuracy and attention to detail. Must be able to work independently and as part of a team. Familiarity with Jewish dietary laws or willingness to learn. Ability to read Hebrew helpful.

Additional Information:Part-time, 17.5 hours/week. Hours may be flexible based on events schedule and with permission of supervisor. Some after-hours time required. The Events and Communications Coordinator job responsibilities fall into several key areas as follows:


  • Coordinates communications for the Department.

  • Makes regular updates to public departmental website and social media.

  • Replies to inquiries on social media and e-mail.

  • Designs and distributes promotional event notices to appropriate audiences.

  • Distributes events notices to appropriate groups on e-lists, Gazette or broader advertisements, where appropriate.

  • Assists with gathering information for and reviewing materials for departmental newsletter, particularly around events.

  • Assists with departmental communications and mailings.

  • Forwards notices and sends invitations to appropriate groups; keeps track of attendance.

  • Maintains Center listservs for various groups.


  • Assists with coordinating Center-sponsored events (including visitor welcome receptions, public lectures, speakers and special events for modern Hebrew and Yiddish language classes and for student research groups, etc.).

  • Schedules space, books hotels, arranges travel, orders catering, for in-person events.

  • Staffs in-person events when possible.

  • Obtains Webinar licenses for virtual events and distributes appropriate Webinar links to various participants, and sets up presenters as cohosts.

  • Hosts Webinars when possible.

  • Arranges for Webinar captioning, when needed.

  • Communicates with invited speakers, guests and faculty members about details of visits/talks.

  • Coordinates/arranges appropriate media services for events.

  • Communicates with host faculty and speakers to make speaker arrangements.

  • Keeps track of Jewish studies events shared Google calendar.


· Works as part of a team with office staff, as well as independently. Other job duties as required.

Reporting to the Administrator, the Events and Communications Coordinator is an integral member of the Center for Jewish Studies, handling logistical and administrative tasks to ensure smooth and efficient daily operations.
