Experience with AlumniMagnet, Advance, Qlikview and Adobe
Demonstrated ability to manage multiple stakeholders and competing priorities within a matrixed organization
Potential for limited travel (1-2 trips/year)

Leads platform onboarding pipeline and process, working collaboratively with Director and staff volunteer liaisons to prioritize onboarding requests in accordance with HAA and department priorities. Works with internal technical partners to reconcile application usage, ensuring that enterprise usage remains within contractual allowances. Coordinates onboarding requirements, processes, and timelines with approved Club and SIG volunteers, staff liaisons and staff assistants. Manages confidentiality agreements and user agreements in compliance with data governance and contract requirements.
Manages the creation, curation, and maintenance of training resources and best practices for volunteer administrators. Creates and maintains a multi-modal data-informed training program including online training documents and videos, live launch trainings, office hours, user groups, and targeted volunteer communications. Oversees and optimizes volunteer-facing resource site to keep club and SIG volunteers and HAA Contacts informed, in touch, and empowered.
Monitors and manages triage and resolution of alumni admin issues in the platform support tracker to ensure that volunteers are supported efficiently. Liaise with technical colleagues to understand and communicate bug fixes and technical enhancements to volunteers.
Serves as key member of software Steering Committee, working within the committee to set program direction. Prioritizes and advocates for platform customization and enhancement needs according to HAA and team priorities.
Works with volunteer administrators, staff liaisons, and internal technical colleagues to set policy for, evaluate and approve customization requests and design changes. Manage resulting volunteer-facing process pieces.
Works collaboratively with AA&D technical colleagues to review, maintain, and update requirements for Club and SIG alumni data feeds. Determines and enacts streamlined data sharing policies and practices for recurrent opt-in opportunities (e.g., Welcome to Your City, Global Networking Night, Shared Interest Group Showcase, and Shared Interest Group marketing campaigns) and ad hoc opportunities, working collaboratively with partners within the HAA and across AA&D to ensure efficient and data compliant approaches.
Maintains a comprehensive understanding of AA&D data governance policy and ensures that AA&D-wide policies and practices are accessible and well-understood by Clubs and SIGs staff. Sets and directs Clubs and SIGs data-sharing practices compliant with AA&D policy.
Serves as business owner of alumni.harvard.edu/programs-events, working in partnership with technical team to determine page requirements and prioritize functional enhancements. functionality, mapping needs to volunteer-facing CMS and volunteer training to ensure optimal functioning of the event feed. Oversees quick resolution of duplicate and sub-par Club and SIG event listings and integrates volunteer-facing solutions to decrease and eliminate occurrences over time.
In conjunction with the Director, Senior Associate Director, and Associate Director for Clubs and SIGs, provides mentorship and contributes to the strategic direction, culture, and approaches of the Clubs and SIGs team. Establishes and maintains collaborative relationships with alumni affairs colleagues throughout the University and works to build University-wide engagement amongst alumni through the Clubs and SIGs network.
Hires, manages, delegates to, coaches and mentors shared Staff Assistant in partnership with the Director; works with Staff Assistant to build professional skills and oversees performance management.

Alumni Affairs and Development (AA&D) comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.
Harvard Alumni Association (HAA)
The HAA is the official association for all of Harvard University’s alumni. The HAA is responsible for University-wide alumni initiatives and works with all Harvard Schools, including the FAS, to increase alumni engagement. The HAA is also the home of the Harvard and Radcliffe College Alumni Programs Office. The HAA supports a global network of volunteers who organize alumni through Harvard Clubs, Shared Interest Groups, college classes, and graduate and professional School organizations.
This full-time position manages all volunteer facing aspects of data and digital tools provided to and supported for Harvard Clubs and HAA Shared Interest Groups, including onboarding, training, communications, compliance, and support for 700+ alumni volunteers. Serves as business owner and primary resource for alumni volunteers utilizing digital tools provided to and supported for Harvard Clubs and HAA Shared Interest Groups. Responsible for defining business needs to support Club and SIG alumni databases, membership management, event registration, broadcast email, and websites. Manages all alumni-facing aspects of program including onboarding, training, communications, compliance, and support.
