  • High School Diploma, GED, or equivalent is required.

  • 3+ years of experience in administrative support role(s) and/or related experience is required. Education beyond high school may count toward experience.

  • Microsoft Office (Word, Excel, PowerPoint and Outlook) experience is a must.

  • Excellent verbal and written communication skills.

  • Proven customer service excellence, interpersonal and organizational skills.

  • High level of attention to detail, ability to work independently, and work effectively with Interruptions to meet tight deadlines and respond quickly.

  • Ability to establish and promote good working relationships with alumni, colleagues, faculty and staff members across HBS and Harvard University.

  • Ability to manage confidential information appropriately with a high level of tact and discretion.

  • This individual asks questions, has good judgement, is accountable for their actions, and follows through on projects. Comfort with numbers and reporting.

  • Ability to handle confidential material professionally, with tact and discretion is required.

  • Ideal candidates will have a desire to work as part of a team with an all-hands-on deck approach and maintains a “no job is too big or small” philosophy.

  • Strong computer skills with Microsoft Outlook, Word, Excel, and PowerPoint required and has an ability to learn new software and databases.

Additional Information:This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.

Working closely with the Assistant Director of Operations and members of the broader Alumni Relations (AR) teams, the Alumni Relations Assistant serves as the primary point of contact for alumni customer service for events, reunions and all general alumni inquiries. They manage a variety of complex administrative tasks and work independently with minimal supervision in a fast-paced environment with multiple and conflicting priorities. This individual excels at multi-tasking, anticipates, and proactively resolves problems, has good judgment, is organized, detail- oriented, flexible and adaptable.

This position provides the following:

  • Support the team with administrative duties to ensure smooth operations within Alumni Relations and between other HBS departments, including but not limited to ordering office supplies; managing the AR general inquiry email inbox and AR phone lines.

  • Preparing reports and materials; drafting correspondence for internal partners in External Relations (ER), across HBS, and to alumni.

  • Responding to emails, scheduling meetings, drafting agendas, reserving space, and recording meeting minutes. Work with multiple supervisors and manage competing priorities to meet deadlines.

  • This role will be responsible for other duties as assigned.
