Wellforce Communications Coordinator in Burlington, Massachusetts

The Communications Coordinator is an essential member of the Wellforce team and will inform, educate and inspire the Wellforce community concerning the system-wide implementation of an electronic health record (Epic). As one of the largest projects ever undertaken by Wellforce, effective communication will be essential to its success. The Communications Coordinator will assist the Epic Communications Manager in implementing communication plans that help employees see the long-term vision of the initiative as well as understand the details of its implementation and their roles.

Communication tactics will be designed to reach audiences across the system through new and existing communication vehicles. In addition to Epic, the Communications Coordinator will assist with other digital transformation projects. This is an exciting opportunity to bring to life the plans and stories of the system’s transformation.

This position is a full-time temporary position, ending a few months following Epic Go-Live in April 2022. At that time, there may be additional communications opportunities this individual could apply for.

Responsibilities:

  • Implement communication plans, including event management, content development (such as videos, podcasts, presentations, emails, newsletters, blogs, brochures, posters, intranet copy, etc.) and other strategies and tactics

  • Help leaders prepare for important presentations, assisting with message development and presentation design

  • Create and maintain calendars and action plans for Epic communication needs over the life of the implementation and ensure coordination with other system and member events and announcements

  • Regularly update the EpicEdge intranet, ensure that content is engaging, current and easy to find. This includes uploading content and building pages in the Interact content management system

  • Collaborate with the communications teams at Wellforce and its member organizations in partnership with the Epic Communications Manager. Develop strong relationships with the member internal communications staff

  • Think creatively about ways to motivate and educate diverse audiences, including leaders, Epic implementation teams, clinicians, end-users, patients, family members and others

  • Monitor and regularly evaluate the effectiveness of communications activities, adjust plans based on findings

  • Partner with the Wellforce video producer to coordinate, edit and distribute videos

  • Partner with graphic designers and other internal and freelance partners

  • Provide communications support for Epic trainings, events, education

  • Attend Epic Project meetings and other meetings as necessary

  • Assist with change management strategies to help audiences understand the benefits of this transformation and how to adapt to changes

  • Assist with other communications activities as directed by the Epic Communications Manager

    Qualifications:

  • Bachelor’s degree in communications, English, journalism, marketing or related field

  • Entry level to 1-2 years of communications experience (health care and/or IT experience preferred)

  • An equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed above, may be substituted for the above education and experience requirements

  • Excellent written and oral communications skills

  • Basic design skills for presentations

  • Knowledge of electronic health record systems and Epic specifically preferred

  • Comfort with/passion for information technology sector

  • Experience with content management systems

  • Experience with Adobe Photoshop, InDesign or other design software preferred

  • Excellent interpersonal skills and experience managing input from multiple stakeholders, working toward consensus and delivering outcomes that meet complex and sometimes competing needs

  • Experience managing changing priorities and working in a fast-paced, complex environment

  • Professional demeanor

  • Knowledge of privacy standards and regulations regarding patient data and the electronic health record
