Overview

The Research Financial Analyst II (Fiscal Services dept.) provides financial and administrative support in Post-Award management of sponsored awards, grants and contracts within the Research Finance Office (RFO). Processes journal entries, reviews sponsored agreements, and creates financial reports and invoices. Has knowledge of the laws and regulations that govern sponsored research grants and awards in orderto properly account for research activity and to ensure compliance with those laws and regulations.

After initial training/orientation, this role is offered as a hybrid work option if desired.

Responsibilities

  • Compiles financial reports and coordinate with the Research Administrators and Sponsors to ensure accuracy, compliance, and timely submission.

  • Manages a variety of operational activities that support accurate and timely administration of information by working extensively with the research coordinators on the collection of non-NIH billable data. Records the revenue based on the sponsor agreement.

  • Prepares and assists with the NIH drawdown requests and subsequent reconciliations.

  • Works with RFO staff and management to review, data-enter and create new cost centers for awards, grants and contracts as they are awarded by sponsored agencies. Provides assistance in understanding financial data.

  • Develops financial reports for both federal and non-federal agencies. Communicates in-depth analyses, trend information, run rates, and forecasts future outcomes. Interprets financial results and consults with Research Administrators and Research Directors regarding these results in order to assist in decision making and to ensure our compliance with industry regulations.

  • Monitors all federal and non-federal sponsor regulations for changes and updates. Understanding these regulations and applying them to daily work flow in order to minimize compliance risk and liability to the Medical Center. Sharing this information with co-workers and Research Administrators in order enhance productivity and minimize risk.

  • Assists staff and management in reviewing and processing budget adjustments and carry forward requests related to existing sponsored awards, grants and contracts.

  • Assists with payment identification and provides proper account coding for payment posting.

  • Prepares various monthly financial reports for the office of sponsored research team (OSR).

  • Maintains all documents related to the receipt and deposit of all sponsored funds. Ensures these records are available to fellow RFO staff and Research Team personnel as these documents are audited annually as part of the annual A-133 audit.

  • Prepares monthly reconciliations to maintain internal record for sponsored awards, contracts, and agreements. Rectify any variances in expenses and revenue against billed or reported amounts.

  • Assists is final reconciliation of sponsored projects for closeout, including adjustments to the G/L and internal cleanup tasks.

  • Adheres to all policies and procedures internally and externally.

  • Standard month end close accounting, including journal entries and account reconciliations.

  • Maintains the integrity of the accounting systems, reconciling data and identifying systems errors as they arise.

  • Other duties as assigned.

Qualifications

  • Bachelor’s degree in accounting or finance related field

  • Minimum 3 years of research accounting experience

  • Experience in a not-for-profit or a research institution environment a plus.

  • Infor –Lawson and Cayuse software experience a plus

  • Highly organized and self-motivated

  • Proficiency in Microsoft applications, including but not limited to: Excel, Word.

  • Experience with databases, key data extraction and summarizing information.

  • A strong understanding of accounting principles.

  • Excellent skills at problem solving.

  • Good verbal and written communication skills.

  • Good interpersonal skills.

  • Ability to prioritize assignments to complete work in timely manner when there are changes in workload and pressures of deadlines.
