Donor Relations Officer

Department Description:This role is providing support on the Beth Israel Lahey Health Philanthropy team. This role will focus on stewardship reporting.

Job Summary:Supports the wide-ranging communications and stewardship efforts of an expanding Donor Relations program through writing, editing, and production-related assignments for traditional and new media.

Essential Responsibilities:

  • Facilitates acknowledgement system for BILH to prepare, send and track acknowledgement letters from leadership, which includes CEO, CPO, hospital Presidents, and VPs of Philanthropy for selected gifts based on criteria.

  • Manages and generates automated acknowledgments of lower-end gifts and tribute letters.

  • Manages metrics for acknowledgment systems to report and track results. Partners with operations team to ensure that all data and reporting is up to date.

  • Manages acknowledgment template content in Raiser's Edge, including updating templates and fund constituent record notes for targeted acknowledgement language.

  • Writes donor relations correspondence on behalf of BILH leadership, including customized letters and targeted outreach for cultivation, stewardship, and recognition activities.

  • Composes and edits correspondence, reports and documents for final approval. Proofreads documents as needed and adheres to department content and style guide. Types and edits other documents, which may include scientific, technical or specialized terminology and specialized formatting.

  • Collaborates with stewardship writing colleagues to develop, research, and write stewardship reports and updates to top donors tailored to the needs, interests, and personalities of major donors.

  • Works as necessary to successfully meet established goals and objectives and works on other projects and duties as assigned.

Required Qualifications:

  • Bachelor's degree required.

  • 3-5 years related work experience required.

  • Experience in marketing, communications, event management and donor/customer relations in large, complex institution.

  • Ability to work occasional evenings and weekends as required.

  • Experience with computer systems required, including web based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access.

  • Problem Solving:Ability to address problems that are routine, somewhat repetitive and generally solved by following clear directions and procedures and by identifying opportunities for process improvements.

  • Independence of Action:Ability to follow general instructions and procedures as provided. Work is monitored by supervisor/manager.

  • Written Communications:Ability to communicate clearly and effectively in written English with internal and external customers.

  • Oral Communications:Ability to comprehend and converse in English to communicate effectively with medical center staff, patients, families and external customers.

  • Knowledge:Ability to demonstrate basic knowledge of fundamental concepts, practices and procedures with the ability to use them in routine situations. Specialized knowledge not required.

  • Team Work:Ability to interact respectfully with other employees, professional staff and/or external contacts to offer ideas, identify issues, obtain information or deliver services.

  • Customer Service:Ability to provide a high level of customer service to patients, visitors, staff and external customers in a professional, service-oriented, respectful manner using skills in active listening and problem solving. Ability to remain calm in stressful situations.

Physical Nature of the Job:

Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, pulling objects. Sitting most of the time, with walking and standing required only occasionally
