The purpose of the Department Grants Management Specialist (DGMS) is to provide support to faculty preparing grant applications (Pre-Award) and managing finances of the faculty portfolio after awards are funded (Post-Award). This position will provide financial information, guidance, analysis and support to Pediatric Oncology research faculty. Post-Award activities include managing accounts associated with grants, gifts, strategic centers, and other types of funding. Pre-Award activities include identifying and reviewing sponsor eligibility and application requirements, and coordination and preparation of research applications for final approval and submission.

In addition to the responsibilities described above, this position may occasionally be assiged special projects within the department, related to grants management and administration.


  • Develops budgets and budget justifications for award proposals, which will include fellowships, career development awards (K08, K99, etc.), and various foundation and federal grants

  • Proactively works with faculty and/or professional staff to identify funding opportunities and prepare applications for grants and fellowships in compliance with sponsor guidelines and Institute standards for excellence and timeliness.

  • Responsible for the timely and accurate completion of entire proposal (excluding scientific content) for accuracy, presentation, and compliance. This includes but is not limited to all administrative pages, narratives for non-scientific areas of the grant (e.g. data sharing plan, resource sharing plan, human subjects, vertebrate animals, etc.), and appendices

  • Responsible for oversight of grant submittal process, including monitoring the application review process and submitting supplemental information. Works with faculty to review summary sheets and plan responses/revised applications, if applicable, and complete any JIT or program requests.

  • Assists with all progress reports and ensures compliance and responsiveness with sponsor guidelines and requests.

  • Management of the department’s T32 Training Grant from both a pre and post award perspective.


  • Upon award, finalizes the budget and works with Grants & Contracts and Research Accounting to get the award set up properly in a timely manner.

  • Reviews Notice of Award for any budgetary or other restrictions/requirements. Works with faculty and fellows to assure understanding of reporting and other requirements of PI.

  • Reviews budget adjustments, restrictions, required responses with awardees and ensures a timely response to the sponsor.

  • Manages budget spending to guidelines, monitoring and reviewing allocation of research funds, grant balances and charges, ensuring appropriate use of funds under investigator control, both in terms of sponsor/external regulations and Institute policy. Calculates overhead and fringe benefit charges; purchases equipment; ensures payment of salaries; and generates spreadsheets

  • Monitors moonlighting and second opinion payments for clinical faculty

  • Compiles and analyzes fiscal data; develops reports, disseminates accurate and complete financial information to ensure compliance with all requirements of externally funded programs, performs related duties as assigned.

  • Bachelor's degree preferred, and at least 3 years of related experience (pre-award or post-award or both) in an academic research environment required.

  • Must have excellent communication skills (written and verbal) and be able to work with a wide variety of faculty and staff.

  • Required computer skills include knowledge of MS Word, MS Excel, MS Outlook and Adobe Acrobat Pro DC. PeopleSoft and InfoEd experience is a plus, as is familiarity with NIH Platforms (eRA Commons, xTrain, ASSIST, etc.).
